How to Approve Timecards in Bilflo
1. Open the email+
When a timecard is ready for you, Bilflo sends you an email titled “Submitted Timecard Needs Review.” Click the link in that email.
2. Log in
The link takes you to your Bilflo login page. Enter your username and password. You’ll land right on your Outstanding Approvals list.
(No email? You can also go to your Bilflo portal and open Outstanding Approvals any time.)
3. Review the timecard

Each row shows the contractor, the week, and the hours. Click View timecard to check the details.
4. Approve or Deny
To approve:
- Click the green ✓ Approve button on the row.
- (To approve several at once, check the boxes on the left, then click Approve at the top.)
- If a confirmation pops up, click OK. Done — it disappears from your list.
To deny:
- Click the red ✕ Deny button.
- Type a short note telling the contractor what to fix (this is required).
- Click Comment and Deny. They’ll get an email with your note and can resubmit a corrected timecard.
If you’re part of a multi-step (sequential) approval
Some timecards need approval from more than one person, in order. If your company is set up this way:
- You’ll only get the email when it’s your turn. If someone approves before you, the timecard moves to you next and you’ll be notified then.
- After you approve, it automatically goes to the next approver in line — you don’t need to forward anything.
- The timecard is only fully approved once everyone in the chain has approved it.
- If anyone denies it, it goes back to the contractor to fix and resubmit, and the approval steps start over.
That’s it
Approved timecards move on automatically for billing/payroll. You only ever see the timecards that are yours to approve.
